Period-end Processing

 

Sage MAS 90 and Sage MAS 200 period-end processing is a vitally important step in keeping your data healthy. Many modules maintain buckets of data by year (year-to-date, prior-year, etc.). The order in which modules are closed is very important.

 

 

Year-end Payroll Information

 

1099 Notice for Sage MAS 90 and MAS 200 Users
When filing 1099 forms for individuals (any vendor with a Fed ID number being a social security number), the government requires that you list the individual's name first and then "dba company name." In MAS 90 you need to make sure the individual's name is typed in the Vendor Name field and the "dba company name" is listed in the address fields. For example:

 

Vendor Name - John Smith
Address Field 1 - dba Smith Plowing
Address Field 2 - 123 Sesame Street

 

Clients who have not followed these guidelines have received notices from the IRS requesting the appropriate changes be made.

 

Wisconsin Unemployment - UCT-101 change for 2008

  • Beginning with quarter ending September 30, 2008, Wisconsin Unemployment lowered the threshold for filing quarterly unemployment reports magnetically or electronically to employers with 25 or more employees.
  • Beginning with quarter ending September 30, 2008, Wisconsin Unemployment returns and applicable tax payments must be received by the State by the due date, not just postmarked.

NEW 2008 Wisconsin W-2 Account Number Change
Starting with the 2008 filing season, Wisconsin will require the 15-digit ITS account number instead of the 7-digit number. The 15-digit withholding tax account number is listed on the Business Tax Registration Certificate. It begins with "036," followed by the 10-digit account number, and then a 2-digit number. Make sure to enter the 15-digit account number into MAS 90 or MAS 200 Payroll/Setup/Tax Table Maintenance for the State of Wisconsin before printing your W-2s. NOTE: Enter the 15-digit number without the dashes. The Wisconsin Department of Revenue requires the W-2's have the ID number printed without the dashes.

 

Important Reminder: Steps to Complete Prior to Payroll Year-end Processing

1. Enter taxable fringe benefits, including:

  • Group Term Life > $50,000
  • Personal Use of Auto
  • Amounts taxable under an unaccountable expense reimbursement plan

2. Check that no employee has exceeded the 401(k) limits ($15,500 for employees under 50 and $20,500 for employees 50 and over for 2008)

3. Test Social Security taxes withheld for a few employees over the FICA limit. ($102,000 for 2008)

Do not install tax table updates prior to running W-2s, even if you have to enter payroll for 2009 prior to W2 printing.

After final payroll is run:
For MAS 90 or MAS 200: Use Copy feature in Company Maintenance (4.x) to copy current payroll data to a backup company for future reference (see Tips 'N Tricks for details). Contact Jenny Searl at 920-996-1202 for instructions.

 

Year-End Program Updates

 

Year End Program Change Availability:

The following MAS 90 and MAS 200 Interim Release Downloads (program changes) and 2009 Tax Table Updates are expected to be available on the Sage Software Online website in late December.  Sage has not yet announced what changes will be made in this year's Interim Release Download.  Jenny Searl will be emailing the program changes out to all clients once they become available.


2008 Interim Release Downloads

  • Install before W-2 and 1099 forms have been created for 2008
  • V 3.71, V 4.0, V 4.05 and V 4.1 will be available via Sage Online Services

Q1 2009 Tax Table Updates

  • Install after W-2 forms have been created and prior to first payroll run for 2009
  • V 3.71, V 4.0, V 4.05 and V 4.1 will be available via Sage Online Services

NOTE:  Your Schenck Technology Consultant will bring these program updates with them when onsite to assist with running W-2's and closing the year.

Getting Logged onto Sage Software Online:
To download Tax Table Updates from Sage Online Support website go to
www.sagesoftwareonline.com.  Log in to Sage Online, then click on "Support" and "MAS 90 and MAS 200" under the Support Options and Resources section.  Then select "Tax Table Updates" under the Download section.   If you do not already have a user name, you'll need to select Register Now.  You must have a current maintenance plan to access the Sage Online website.  Please call Jenny Searl if you have trouble registering for a Sage Online login.

 

Taxable Fringe Benefits

 

The Internal Revenue Service continues to look closely at fringe benefits provided to LLC members, partners in partnerships and employees. In particular, they are looking at tax return preparation fees for LLC members, partners and employees. When paid by the partnership or LLC, tax return preparation fees are a taxable fringe benefit if paid on behalf of an employee (a non-owner). It should be included on the individual W-2, subject to FICA, federal and state withholding.

Economic Stimulus Package

 

The economic stimulus bill recently passed by the US Congress and signed by President Bush includes a provision that should encourage many customers and prospects to consider purchasing Sage products in 2008.

The Economic Stimulus Act of 2008 provides a "bonus depreciation" allowance for certain property acquired during 2008, including computer software.

Tips & Tricks: Sage MAS 90 and MAS 200 Backing Up Company Information

 

MAS 90 has a built-in program to assist with the copying of company data to another company within MAS 90. This is especially helpful at quarter-end for copying payroll and for copying all modules at year-end to a "history" company before performing the quarter-end and year-end processing. Tips & Tricks: Sage MAS 500

Creating Test Databases 

 

 

In MAS 500, it is often helpful to have a test database containing your exact data to run "what if" scenarios. Test databases are often used to test major upgrades before launching them company-wide or to test a new module or business process in a controlled environment.
